1. About these terms
These terms are between [LEGAL ENTITY NAME] (company number [COMPANY NUMBER], [REGISTERED ADDRESS]) ("we") and the business that signs up ("you"). Contact: hello@civvio.ai.
2. Who can use Civvio
Civvio is for businesses only, not consumers. Whoever signs up confirms they are authorised to accept these terms for their business. Civvio Engineer is for individual professionals working in the course of business.
3. Accounts and access
You are responsible for your users and for keeping sign-in details secure. Company admins set each user's access level (Admin, Management or Site), which controls what they see. Site users never see commercial information.
5. Free pilot and trials
We may offer a free pilot (currently 30 days for companies) or trial (currently 14 days for Civvio Engineer). Pilots and trials may have allowances and may be changed or ended. Payments are not yet enabled; no charge is taken during a pilot.
6. Plans, allowances and fees
Plans include monthly AI allowances (answers, voice minutes, drawing pages, RAMS drafts and document pages), with optional top-ups and fair use of storage. Fees are as agreed with you, or as shown on the pricing page once billing is enabled, plus VAT.
We may limit use that is far beyond normal use for your plan, after talking to you first where practical.
7. AI output
Civvio produces drafts and information to support competent people. It is not legal, contractual, engineering or health and safety advice.
- You remain responsible for checking RAMS, notices, RFIs, variations, diaries and allocations before using them.
- Nothing is issued, sent or approved without a person approving it. RAMS are approved only by your competent person.
- AI can be wrong. Answers show their sources so you can check them.
8. Your data
You own your content. You give us a licence to host, copy, process and display it only to provide and support the service for you. We process personal data in it under our Data Processing Addendum, and our AI providers do not use it to train their models.
You confirm you have the right to upload every document and record you add, including third-party drawings, specifications and contracts.
9. Confidentiality
Each party will keep the other's confidential information confidential and use it only for this agreement, except where it is already public, independently developed, or must be disclosed by law.
10. Acceptable use
- No unlawful content, or content you have no right to use.
- No attempts to break security, access others' data, or overload the service.
- No reselling or reverse engineering, and no using Civvio to build a competing product.
11. Availability
We aim to keep Civvio available but there is no service level agreement during the pilot. Some features need a connection; offline drafts save on the device until signal returns.
12. Suspension and termination
You can stop using Civvio at any time. We may suspend or end access for serious breach of these terms or non-payment once billing is enabled, with notice where practical.
On termination you can export your data, and we will delete it within [30 DAYS — TO CONFIRM] unless the law requires us to keep it.
13. Intellectual property
We own Civvio, its software and branding. You own your content and the drafts Civvio produces for you.
14. Liability
Our total liability in any 12 months is capped at [THE FEES YOU PAID IN THE PREVIOUS 12 MONTHS — TO CONFIRM]. We are not liable for loss of profit, revenue, contract or data, or indirect losses, or for decisions made on AI output without proper review.
Nothing limits liability for death or personal injury caused by negligence, fraud, or anything else that cannot be limited by law.
15. Changes to these terms
We may update these terms and will give account holders at least [NOTICE PERIOD — TO CONFIRM] notice of material changes.
16. Governing law
These terms are governed by the law of [GOVERNING LAW: Scotland / England & Wales — TO CONFIRM], and its courts have exclusive jurisdiction.
